Office Administration Manager

Christian Jobs is in an exciting period of growth and as a result are looking to take on a professional office administration manager in order to join our Christian Jobs family and support the vital work of our team.

This role holds significant responsibility within the Christian Jobs team and exists to equip, underpin and support the wider team in order to meet both individual and collective aspirations. 

At Christian Jobs we are passionate about connecting Christians with Christian organisations across the UK and around the world. We do this by supporting Christian organisations in their recruitment needs as well as promoting the work they do. We promote organisations on our website, social media platforms and attending events and conferences across the UK to meet face to face with individuals looking for new opportunities.

In the last few months, we have expanded our team in order to assist on several new and exciting projects. Within this role, you will be supporting the team to be able to meet their individual sales and project targets. Through your hard work we will be able to continue our excellent reputation of providing high quality customer service and expert recruitment support.

Main duties

  • General Business Support:

    • Support the sales team to find contacts whilst ensuring data management procedures are followed correctly.

    • Assist the Sales and Operations Manager with administration associated with Executive Search campaigns.

    • Ensure that colleagues have resources needed in order to carry out their daily roles, which can include access to information, material resources and online systems.

    • Arrange travel and preparations for colleagues attending meetings across the UK.

    • Ensure that office supplies are fully stocked.

  • Administration:

    • Assist with administration tasks such as creating adverts and database management.

    • Carry out website back ups and administration associated with the website.

    • Keeping accurate minutes during meetings.

    • PA to the directors. Providing personal assistance to directors and team members.

    • Data protection management - ensuring all internal policies are adhered to such as storage and use of information.

    • Compile weekly analytics on website and advertisement performance.

  • Customer Service:

    • Contact clients on how we can serve them best in their unique needs.

    • Handle incoming calls to our office phone in a professional and friendly manner.

    • Assist organisations and team members with technical issues.

  • Marketing and external communications:

    • Assist marketing team with ensuring all roles are featured across CJ social media platforms.

    • Assist with writing and proofreading text for marketing of Christian Jobs services through brochures, blogs and websites. 

    • Liaise with partners in order to ensure we are delivering agreed services within our partnerships.

  • Financial Administration: 

    • Payment creation in the internal system, create invoices and chase up any outstanding invoices.

    • Track expenses for Christian Jobs staff members.

The above list is not an exhaustive list of duties. You will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.

There is an Occupational Requirement under the Equality Act 2010 (Schedule 9, Part 1, Section 3) that the person appointed be a practising Christian.
